You are an international scholar holding a doctoral degree or a doctoral candidate who will spend time researching, working or teaching in Freiburg? You are the host institution inviting or employing an international scientist? The International Office's Welcome Service can provide useful information to prepare the stay.

The First Step


As a visiting scholar, you must be hosted or, depending on your purpose of stay, employed, by a department or institute at the university. Once you have come to an agreement with your host institution, and know that you will be spending time in Freiburg, the first step should be to register with us. The same applies to new international employees and doctoral researchers who have been accepted by a professor.

Similarly, a host institution at the University of Freiburg that has invited a guest scholar, takes on a PhD student from abroad and/or will be employing an international scientist, should provide their guest with the link to register with us. Of course a host institution may also fill in the necessary information for their guest or future employee. We will then contact the guest.

If you have any questions about the form or registration, please contact us. In any case, we ask you to register or otherwise contact us as early as possible.


How We Will Help


Once we have received the necessary information you have provided in the Welcome Form, we will contact you and provide information about the formalities you need to take care of before coming to Freiburg.

Please note that you are responsible for obtaining required documents, for example a visa. We can tell you whether or not you need a visa, depending on your nationality, however, you need to obtain it yourself. We cannot speed up or otherwise influence the visa application process.

We cannot replace the various authorities and service providers, but in a jungle of documents, requirements and things to remember, we can help you to focus and find the right people to talk to.

We will provide information to help with non-academic preparations. They may include 

  • Visa and entry requirements
  • insurances
  • accommodation*
  • accompanying partner/family
  • information about Germany and Freiburg


*Note that we cannot actively find accommodation for you, we provide information and help with applications for university guest apartments. You are responsible for finding appropriate housing.


What Is Important To Know


Please contact us well in advance, so that we can make sure that all requirements and necessities are taken care of.

Depending on your citizenship, country of residence and purpose of stay, you might need a visa. In that case, you will have to apply for and obtain the correct visa in your home country. You will need to do this at least a couple of weeks before your scheduled trip to Germany as the process takes time.

Do NOT, under any circumstances, enter Germany on a tourist visa! This type of visa cannot be extended or converted into a different category. It also is not possible to apply for a residence permit if you are staying with a tourist visa.
